Policies
I) Potential host cities must meet 90% of the Site Selection Criteria as defined by the IAMC Board of Directors.

    of IAMC Spring 2005 Professional Forum
  • Appealing facilities with adequate meeting space & guest rooms under one roof
  • Minimum of 40,000+ sf of flexible meeting space
  • Minimum of 400 guest rooms to accommodate anticipated growth
  • Appropriate climate for time of year
  • Acceptable room rate range , up to $250 per night, depending on city, facility and economy
  • Ease of transportation into city, to and from airport to venue (Carriers & cost)
  • Notable landmark/project
  • Potential attraction for case study or tour
  • Tourist appeal
  • Be near an industrial center
  • Potential tour sites
  • Potential corporate members
  • Quality, interest and availability of personal guest programs
  • City/State should be a supporter of IAMC, either through membership and/or sponsorship
  • City should be in a region that has been selected by the Future Sites Committee that fits into IAMC's regional rotation pattern.
  • Host city must help identify and help staff recruit new corporate members
  • Must align with geographical dispersion to facilitate national growth of association
II) Potential host cities may be allowed to fund the Welcome Reception and Dinner at the discretion of the Future Sites Committee.
  • Planning and arrangements for these events are managed by IAMC staff in collaboration with the host city.
  • Potential host city must be willing to submit a 5% deposit of host group commitment when a final decision has been reached by the Board of Directors. In addition 25% will be due 24 months out; 25% due 18 months out; 25% due one year out; and balance due 6 months out.

III) Potential host city must be willing to fund the travel for a site inspection by IAMC staff and Future Sites Committee Chair.

IV) Since the Board has determined that contacting or soliciting support from individual Board or committee members during this process is unacceptable, doing so may result in disqualification.

V) Potential host city must be a member of IAMC prior to submitting a proposal.

Professional Forum Proposal Submission
Procedures & Requirements

I) Potential host city must submit an invitation to the Future Sites Committee Chair, with a Copy to IAMC HQ in both electronic and hard copy format.

II) Suggested information to be included in the invitation/proposal are:

  • Hotel/facility information, including number of rooms; AAA and mobile ratings; historical significance, if any; proximity to downtown/restaurants airport and area attractions; current rack rate, appropriate meeting space; preferred date availability and group room rate
  • Climate information
  • Flight information from major U.S. cities and airport transfer information, i.e. shuttle service and taxi availability and costs, and rental car information
  • Area attractions (possible venues of interest for off-site events)
  • Industrial base for potential new corporate members
  • Golf courses within a 30-minutes drive from hotel

  • Level of commitment from local ED community and political seats
  • Statement that IAMC policies and guidelines have been reviewed and will be adhered to by all involved parties.
Process
I) Potential host city submits proposal to Future Sites Committee Chair and IAMC HQ in both hard copy and electronic format.

II) Electronic copy of proposal is posted on IAMC's bulletin board system, IAMC Interactive, and Future Sites Committee is alerted that a review is requested.

III) The Future Sites Committee will be convened via a conference call to discuss all proposal(s) a minimum of two years in advance of the actual Forum.

IV) Proposal(s) will be reviewed, discussed and ranked by the Future Sites Committee, based on the Site Selection Criteria, regional rotation, Active member venue preference survey results and the commitment from the local ED group. (Please note that IAMC reserves to right to select cities/states that have not submitted proposals, but those venues that it deems to be more appropriate and/or more appealing for the purposes of attracting attendance, or that better suit the regional rotation pattern to support the growth of the association.)

V) These rankings, along with preliminary hotel, city and flight information will be presented to the IAMC Board of Directors at their next meeting.

VI) The IAMC Board of Directors will make the city selection, which will be final.

VII) IAMC staff will inform all parties of the decision of the Board.
